Terms and Conditions for Participation in [Art Fair Name]

1. Eligibility

1.1. Participation is open to individual artists, galleries, and collectives working in various art mediums.

1.2. All artwork must be original and created by the exhibitor or their represented artists.

1.3. Artists must be at least 18 years old to participate.

2. Application & Selection

2.1. All applicants must submit a complete application, including 3-5 images of their work, an artist statement.

2.2. The selection process is juried, and decisions by the organizing committee are final.

2.3. The fair reserves the right to reject applications that do not meet artistic or quality standards.

2.4 By submitting your application you agree that if approved we may use your name, likeness and images for publicity purposes in association with ArtFusion, KC.

3. Booth Allocation & Fees

3.1. Booth spaces are assigned at the discretion of the fair organizers. Requests for specific locations may be considered but are not guaranteed.

3.2. The full participation fee must be paid, or the space may be forfeited.

3.3. Booth pricing: Early Bird $250 ends on February 28th, $300 from March 1st to March 15th (The event is inside)

3.4. Additional costs (e.g., lighting, power supply, extra furnishings) are the responsibility of the exhibitor.

4. Setup, Exhibition & Breakdown

4.1. Setup must be completed by April 11th at 4pm, and all exhibitors must comply with the provided installation guidelines.

4.2. If shipping art, send to 301 W 13th Street, Kansas City, Mo. Additional fees will apply. Attn ArtFusion KC and  "signature required"

4.3. Booths must be open 6pm - 10pm on Friday and 10am - 6pm on Saturday. Exhibitors must remain present at their booth for the duration of the fair. We will have concierge to watch booths for short breaks.

4.4. Breakdown and removal of artwork must be done within the allocated time on [end date], ensuring no damage to the venue.

4.5. Any materials left behind may be discarded.

5. Sales & Transactions

5.1. Exhibitors are responsible for handling all sales transactions, including taxes and receipts.

5.2. Exhibitors will set their own prices for their work.

5.3. The fair is not liable for any lost, stolen, or damaged funds during transactions.

5.4. Exhibitors have clear pricing, payment and packaging options for buyers

5.5. If shipping, you must ship purchases to customers within 30 days of purchase

6. Liability & Insurance

6.1. The fair organizers are not responsible for damage, theft, or loss of artwork or personal property.

6.2. Exhibitors must have insurance coverage for their work and materials.

6.3. Any damage to the venue or fair property caused by the exhibitor will be the exhibitor’s financial responsibility.

7. Conduct & Compliance

7.1. Exhibitors must conduct themselves professionally and respectfully with attendees, staff, and fellow artists.

7.2. Any inappropriate behavior, harassment, or rule violations may result in immediate removal from the event without a refund.

7.3. Exhibitors must comply with all local health and safety regulations.

8. Cancellation & Refund Policy

8.1.All booth sales are final. No refunds will be provided for cancellations or for no-shows.

8.2. If the fair is postponed or canceled due to unforeseen circumstances, organizers will communicate alternative arrangements or refund policies.
